Work Package 1 (WP1)

Overview

WP1 forms the operational backbone of COMMUTE. It is responsible for the overall management of the project, including administrative and financial coordination, data and knowledge management, and the communication and dissemination of results. By providing a coherent framework for governance and day-to-day operations, WP1 ensures that the consortium works in a transparent, efficient and goal-oriented way. It also lays the foundation for long-term impact by shaping sustainability and exploitation strategies and by clearly communicating the project’s value to researchers, patients, industry, and other stakeholders.
 

Project Governance & Coordination

A core role of WP1 is project governance and coordination. This includes the coordination of daily activities, milestones and deliverables across all partners to ensure that the project progresses according to plan. WP1 manages budgeting and reporting and supports decision-making through the Steering Committee (SC) and General Assembly (GA). To promote smooth collaboration, WP1 oversees the use of shared tools such as Microsoft Teams and SharePoint, maintains a risk management framework, and organizes regular meetings in a balanced mix of in-person and virtual formats at monthly, quarterly and annual intervals.
 

Contractual Management & Compliance

WP1 is also in charge of contractual management and compliance. It ensures that all activities adhere to the provisions of Horizon Europe and the Consortium Agreement, and that partners meet their obligations. In this context, WP1 implements and monitors a publication policy, manages any necessary amendments to the Consortium Agreement or Grant Agreement with legal support, and safeguards that all partners deliver as agreed.
 

Data Management

Data management is another central pillar of WP1. The work package develops, maintains and updates a comprehensive Data Management Plan (DMP) fully aligned with FAIR (Findable, Accessible, Interoperable, Reusable) principles. It ensures that data handling complies with all relevant legal and ethical requirements, including data protection and responsible data sharing.
 

Sustainability & Exploitation

To secure impact beyond the project duration, WP1 leads the sustainability and exploitation strategy. This involves identifying pathways for the uptake and exploitation of project results, including intellectual property opportunities and translational routes, and engaging with translational partners and SMEs to maximize real-world value. WP1 works with all partners to align exploitation and sustainability plans with their institutional strategies, ensuring that tools, methods and services developed in COMMUTE can be maintained, further developed and adopted after the end of the project.
 

Dissemination & Communication

Dissemination and communication are equally central tasks of WP1. The work package designs and implements a multi-channel Dissemination and Communications Plan that reaches scientific, clinical, industrial and public audiences. This includes maintaining a project website, using social media channels, and producing brochures, press releases and other outreach materials. WP1 also organizes targeted workshops and events on topics such as AI in healthcare, data integration, knowledge graphs and ethics, thereby supporting knowledge transfer and capacity building. To ensure coherence, WP1 provides ready-to-use materials and guidance so that all partners can communicate about COMMUTE with consistent messaging.
 

Outreach & Stakeholder Management

In addition, WP1 is responsible for outreach and stakeholder management. It actively engages patient groups and national and international research organizations to build trust and foster co-creation. By establishing and nurturing these relationships, WP1 promotes the adoption and integration of COMMUTE’s tools, services and results into clinical and research practice.
 

Reporting & Deliverables

Finally, WP1 manages reporting and deliverables. It compiles periodic technical and financial reports, monitors progress against milestones, and ensures timely delivery of all contractual outputs. WP1 prepares and supports project reviews and audits by providing transparent, well-documented evidence of project activities and outcomes, thereby underpinning accountability and trust with the funding bodies and stakeholders.
